Estar Counseling Services, Inc., located in North Port, FL, is dedicated to providing compassionate and comprehensive mental health care, including individual, couples, and family counseling. Our treatments specialize in addressing a wide range of concerns such as depression, anxiety, grief, addiction and recovery, substance abuse, and stress management, among others. We offer a personal and discreet approach within a comfortable office environment, serving children, adolescents, and adults. Our services also include specialized assessments for licensed health providers in Florida, as well as court evaluations related to substance abuse and DOT driving concerns. We are seeking a detail-oriented and empathetic Office Assistant to join our team. This role is essential for ensuring the smooth operation of our counseling practice by managing administrative duties, supporting client communication, and facilitating daily office functions. Responsibilities
  • Greet clients and visitors in a professional and friendly manner.
  • Answer and direct phone calls, emails, and other correspondence promptly.
  • Schedule and confirm client appointments using the office management system.
  • Maintain and organize client records in compliance with confidentiality regulations.
  • Assist with billing, insurance claims, and payment processing.
  • Prepare and manage office documents, forms, and reports.
  • Coordinate communication between clients, counselors, and external health providers.
  • Manage office supplies and ensure the reception area is welcoming and orderly.

Requirements

  • High school diploma or equivalent; additional education in office administration is a plus.
  • Previous experience in an office assistant or administrative role, preferably in healthcare or counseling.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Proficiency in using office software, such as Microsoft Office and scheduling systems.
  • Ability to handle sensitive information with the utmost confidentiality and professionalism.
  • Empathy and understanding towards clients experiencing emotional or behavioral challenges.
  • Reliable, punctual, and able to work independently as well as part of a team.
