Typical working hours: 8:00 AM to 5:00 PM, Monday through Friday. No On-call.

Job Location: This position is domiciled at Springfield Regional Office, 1515 E Pythian, Springfield MO 65801-5030.

Responsibilities - What you'll do

  • Provide a welcoming environment by greeting visitors, families, individuals, and stakeholders.
  • Check in all visitors at the front desk, ensure they are signed in/out and provide visitor pass while in the building.
  • Answer incoming calls promptly, professionally, and friendly, directing calls as needed, taking messages, and relaying to appropriate team members.
  • Responsible for opening and closing office to include but not limited to transferring phones to after hours on call, turning off building lights, ensuring all doors are closed and locked.
  • Provide support to team members, Assistant Director, and Director within the office and statewide as needed or requested.
  • Assist with new hire onboarding for new office staff.
  • Assist with maintaining, organizing, filing and reporting state vehicle mileage logs, reference book, vehicle inventory, and assisting with scheduling service appointments.
  • Maintain and organize office supply inventory list.
  • Assist with placing office supply orders.
  • Ensure all printers have adequate paper, ordering paper as needed.
  • Organize and maintain mail room with supplies.
  • Ensure office equipment: printer, scanner, post machine, etc. are maintained with regular service checks.
  • Communicate with the afterhours answering service with the on-call rotation, on call persons name and contact information, and communicate when upcoming holidays coverage is needed.
  • Organize and maintain building schematic with office assignments and maintain list and sign out sheet office keys.
  • Process all incoming and outgoing mail to include but not limited to: postage machine, certified mail, date stamping incoming mail and distributing to appropriate team members.
  • Ensure all business office related mail / checks are processed accordingly.
  • Collaborate with team members to ensure safety of building by assisting in ensuring door codes are routinely updated or per request of division leadership.
  • Update and maintain front desk operating manual.
  • Compose, review and process Utilization Review service request letters accurately and in a timely manner according to regulations.
  • Assist in creating, maintaining and organizing utilization review tracker to ensure timelines are being met in accordance with regulation.
  • Other duties as assigned.
Qualifications - All you need for success

Minimum Qualifications:
  • 0-1 years of relevant work experience.
Preferred Qualifications:
  • Knowledge of general office practices.
  • Proficiency in Microsoft 365 programs.
  • Excellent organization and communication skills.
